• Workspace & CRM Data: Customer contact details (names, phone numbers, emails), CRM deal stages, conversation logs across connected channels (WhatsApp Cloud API, Instagram Direct, Web Chat), message tags, and internal team notes.
• Commercial & Billing Records: Transaction histories, subscription plan identifiers, country codes, and currency preferences managed via our Merchant of Record, Paddle. We do not store complete payment card numbers or CVV codes on our servers.
• System Telemetry & Security Logs: AI credit usage, API endpoint latency, audit trails (logins, password updates, permission modifications), and IP addresses utilized for rate limiting and defense against unauthorized access.

3. How Your Data Is Processed

We process information solely to provide, operate, secure, and improve MetaOrbit AI, including:

• Routing and synchronizing customer messages between your connected messaging channels and your workspace inbox.
• Executing Orbit AI copilot assistance (intent detection, sentiment evaluation, and grounded draft generation).
• Updating CRM deal pipelines, attribution stages, and scheduled follow-ups.
• Verifying API signatures, enforcing workspace tenant isolation, and logging security audits.

4. Enterprise AI Processing & Model Privacy

When you or your agents interact with Orbit AI or execute automation prompts, conversational context and user-provided reference documents are transmitted over encrypted TLS connections to enterprise AI processing infrastructure.

Our AI Guarantee: MetaOrbit Technologies does not sell customer data, nor do we permit foundation AI model providers to use your proprietary business records, customer transcripts, or workspace prompts for public foundation model training.

5. Third-Party Integrations & Service Partners

To deliver our services reliably, we interface with verified infrastructure partners:

• Paddle (Merchant of Record): Secure checkout handling, tax remittance, and localized payment processing.
• Meta Cloud APIs: Official WhatsApp Business Platform and Instagram Direct messaging protocols.
• Cloud Hosting & Databases: Cloud hosting infrastructure, PostgreSQL database storage, and Secret Manager vault services.
• Email Providers: Platform transactional and support mail dispatch (SMTP / API gateways).

6. Data Isolation, Retention & Security Controls

Tenant Isolation: Workspaces are isolated at the database layer. Database queries are deterministically scoped to your authenticated tenant ID.

Retention: Active workspace data is retained for the lifetime of your account. Upon account cancellation or explicit deletion request, customer records and conversational transcripts are queued for permanent deletion within 30 days, subject to applicable regulatory or tax retention mandates.

Depending on your jurisdiction, you may have rights to access, review, export, rectify, or request deletion of personal information held by MetaOrbit Technologies.
